The section "Number formats" gives you an overview over all customisable numbers in your shop, for example the customer or order numbers. These numbers are assigned automatically and follow a specific sequence, which you can customise by assigning a prefix, an addition, a divider, influencing the length of the number, and/or specifying the next sequential number.

 

Each country has its own laws regarding order and invoice numbering.

Please inform yourself about the regulations that apply to your country.

Changing the number formats in your shop

  1. In the sidebar of the administration, navigate to Settings >> Number formats.

  2. Change your desired number type by assigning a prefix (1), an addition (2), a divider (3), influencing the number of digits (4), and/or specifying the next sequential number (5). See more information for each section below.

  3. Select Save.

The desired number format has been changed.

 

You can only change the number format for new numbers.

Existing numbers will not be changed!

 
 

In the following, you will find more detailed information about the different options:

 

Prefix (1)

A prefix helps you to individualise your numbering. By assigning a prefix, you can distinguish the different numbers more easily.

  • Add up to ten characters in the text field you want to use as a prefix. You can add any kind of character, including letters and numbers as well as special characters like # @ + - _

  • If you don't want to add a prefix, leave the text field empty.

 

Addition (2)

An addition also helps you to individualise your numbering. Assigning an addition can help you to distinguish the different numbers even more easily. Furthermore, you can add more information, for example the date.

  • Select your desired option in the drop-down menu.

  • You can select between different date formats or another number depending on the number type. For order numbers, you can also select the customer number; for invoice numbers, packing slip numbers and invoice correction numbers you can also select the order number to use as an addition.

  • If you don't want to add an addition select None.

 

Divider (3)

A divider separates the two parts of your number, the prefix and the addition, if you assigned them, and the base number.

  • Add the character in the text field you want to use as a divider. You can add any kind of character, including letters and numbers as well as special characters like # @ + - _

  • If you don't want to add a divider, leave the text field empty.

 

Number of digits (4)

The number of digits allows you to set the amount of digits for the base number. You can use this to even out the formatting. This way all numbers will have the same length. For example, instead of having order numbers 99 and 100, by selecting 3-digit, you would have 099 and 100.

  • Select your desired option in the drop-down menu.

  • You can choose between one to six digits.

  • Choosing a higher number of digits from the dropdown menu will increase the number of digits by adding zeros at the beginning of the current number. You can see the current base number in the next sequential number field and in the preview.

    • You can't reduce the number of digits by selecting a lower number. Instead, you'll need to select your desired number of digits and adjust the number by deleting the digits in the next sequential number field.

 

Next sequential number (5)

The next sequential number shows the next available number that will be used as your base number. According to your specifications, this is the next number automatically generated by the software. This number runs consecutively. The system is built so that you cannot use the same number twice.

  • You can change the next sequential number in the text field by adding or deleting digits.

  • The minimum value is 1.

  • You can't change the next sequential number to a number that already exists.
